Terms and Conditions
Please review our general terms and conditions of sale before booking your journey.
As soon as you book one of our tours, a contractual commitment is established between you and Sensations Vietnam. In this document, the terms “we” and “our” refer to Sensations Vietnam, while “you” and “the client” refer to travelers subscribing to our services. These general terms and conditions of sale constitute the foundation of our agreement. All communications and confirmation documents (via email, fax, etc.) exchanged between the traveler and Sensations Vietnam serve as a formal contract.
1. Formalities: Passport and Visas
Before the start of your journey, it is your responsibility to verify that you fulfill the following customs and entry requirements:
- Passport : It must generally be valid for at least 6 months beyond your scheduled return date.
- Visa for Vietnam : Nationals of certain countries benefit from a visa exemption for stays of up to 45 days. For longer stays or other nationalities, a visa is required. The e-visa remains the most convenient option.
2. Travel Insurance
Subscribing to travel insurance is an essential condition for participating in our tours. You must be covered by an international insurance policy covering at least emergency medical expenses and repatriation. Proof of this coverage will be required prior to departure.
3. Booking and Deposit
To confirm your booking, a deposit of between 25% and 40% of the total amount (depending on the nature of the tour) is required. Bank details will be specified on the booking form. The reservation becomes firm upon receipt of this payment, confirmed by an official receipt from our agency.
4. Prices and Price Revision
Prices may exceptionally be adjusted in the event of:
- A sudden and major fluctuation in exchange rates.
- The unexpected introduction of new government taxes.
Should these events occur, supporting documentation will be provided to you. You will then have the option to accept the adjustment or cancel your trip. In the latter case, your deposit will be refunded, minus non-recoverable expenses already incurred.
5. Payment Terms
Payment of the remaining balance must be made at least 3 weeks prior to departure for Thailand, or upon arrival for Vietnam, Laos, and Cambodia. Payments may be made via:
- Bank wire transfer
- Online credit card payment
- International transfer services (Wise, etc.)
Bank transaction fees remain at the client's expense.
6. Program Modifications
The organization of your tour begins only after confirmation of the deposit and the booking form. If a specific service is no longer available, we commit to offering an alternative of equivalent or superior quality. We reserve the right to:
- Make minor adjustments to the itinerary without prior notice, giving no entitlement to compensation.
- Alter the itinerary following flight cancellations, schedule changes imposed by airlines, or unexpected lack of availability.
7. Cancellation Terms
In the event of cancellation following booking confirmation, fees apply according to the date of your request:
- More than 60 days prior to departure: 5% of the total cost.
- From 59 to 30 days : 15% of the total cost.
- From 29 to 15 days : 20% of the total cost.
- From 14 to 8 days : 25% of the total cost.
- Less than 7 days : 50% of the total cost.
- After the tour begins : 100% of the price is retained.
8. Unused Services
Any journey shortened at your initiative, or any service (flight, hotel, excursion) not utilized for any reason whatsoever, will not be subject to any refund.
9. Limitations of Liability
As a tour organizer, we act as an intermediary. Sensations Vietnam cannot be held liable for:
- Consequences resulting from force majeure events (natural disasters, epidemics, strikes, political unrest).
- Delays, cancellations, or schedule changes of flights and public transportation.
- Loss, theft, or damage to personal belongings.
10. Handling Complaints and Disputes
Any complaint regarding your journey must be submitted to us in writing (email) within 7 days following the conclusion of our services. We commit to prioritizing an amicable resolution. Failing agreement, disputes shall be submitted exclusively to the jurisdiction of the Vietnam International Arbitration Centre (VIAC).
